How to number invoices

Updated November 5, 2026

The short answerNumber invoices with a unique, sequential code that never repeats, such as INV-1001, INV-1002, INV-1003. Keep one running sequence, never reuse a number, and issue a corrected or credit invoice rather than editing a sent one if your rules require it. Some countries require unbroken sequences.

Why numbering matters

An invoice number is how you and your customer refer to a bill. It lets you find a record in seconds, match a payment to an invoice and show an accountant a clean trail. Two invoices with the same number create confusion that is hard to undo.

Common formats

  • Plain sequence: 1001, 1002, 1003
  • Prefix and sequence: INV-1001, INV-1002
  • Year and sequence: 2026-0001, 2026-0002
  • Customer code and sequence: ACME-001, ACME-002

Rules to follow

  • Every number is unique and is never reused
  • Numbers go up in the order invoices are issued
  • Do not start at 1: a first invoice numbered 1001 looks established
  • Keep a sent invoice's number as it is; if the number is wrong, fix it and record the change, or issue a corrected invoice where your rules require it
  • Check the rules where you operate, because some countries require sequences with no gaps

What about gaps and mistakes?

A gap appears when a number is reserved but the invoice is not used. In many places that is fine, in others every number must be accounted for. If you issue an invoice by mistake, cancel it and keep a record of why rather than deleting it and reusing the number.

How Invoicadence numbers invoices

Invoicadence numbers invoices in order, starting at INV-1001, from one counter per workspace. The chat assistant, the daily recurring run and bulk invoices all draw from the same counter, so two invoices created at the same moment never receive the same number. A number that is reserved but not used leaves a gap, and a number is never given out twice.

Frequently asked questions

How should I number my invoices?

Use a unique sequential number that never repeats, such as INV-1001, INV-1002, INV-1003, in the order the invoices are issued.

Should invoice numbers start at 1?

You can start anywhere. Many businesses start at 1001 so the sequence does not reveal how few invoices they have issued.

Can I reuse an invoice number?

No. Reusing a number makes records ambiguous and may break tax rules in your country.

Are gaps in invoice numbers a problem?

Often not, but some countries require unbroken sequences. Check the rules where you operate or ask an accountant.

Does Invoicadence number invoices for me?

Yes. It numbers them in sequence starting at INV-1001 and never gives the same number to two invoices.

Let the numbering take care of itself
